Turner Helps Vocational School Professionalize Its Procurement Function

Over the past few months, the Het Hout- en Meubileringscollege(HMC) vocational school has been working with Turner to professionalize its procurement function, resulting in more efficient and higher-quality processes.

Students can purchase materials for their study projects at the various “stores” at the Woodworking and Furniture Design College. These materials are essential for the vocational school; they include items such as furniture, models, and other interior design objects that students need as part of their practical training.

Room for improvement

These stores now serve about 4,000 students, and their inventory is supplied through the purchasing department. Due to the sharp increase in the number of students over the past few years (in both Amsterdam and Rotterdam), there was a need to take a closer look at the purchasing process for the stores. The expectation was that there would be room for optimization.

The HMC’s director of operations asked Turner to help with this issue, with the ultimate goal of keeping the stores affordable and viable.

Conducting an assessment and identifying priorities

Turner’s consultants kicked off the project by conducting a survey of the various stakeholders, including location managers, store managers, and the finance department. The goal was to thoroughly map out how all processes, roles, and responsibilities are structured and to identify areas where improvements could be made.

The consultants then elaborated on the potential areas for improvement, identifying five key priorities. Based on these priorities, the HMC can implement the necessary improvements. A responsible party has been designated for each of these priorities to translate them into clear action items.

Room for improvement

A concrete plan has now been drawn up that identifies five areas for improvement. By focusing on these areas, HMC will ultimately gain better control over its stores’ finances and procurement process.

To begin with, the HMC needs to improve its ordering procedure for both students and faculty. This will contribute to a more streamlined purchasing process and better financial management. Furthermore, the procurement policy must be professionalized, with the goal of improving the quality of the procurement process. This also involves streamlining the product assortment for the stores.

Furthermore, it is important to optimize inventory management and inventory tracking. This should lead to a better understanding of available inventory, more effective use of inventory locations, and optimal deployment of staff. A fourth area for improvement is in the field of administration. Streamlining these processes will provide greater transparency into the flow of goods, enable smarter purchasing, and keep administrative efforts to a minimum.

Finally, it is important to provide proper guidance on the improvements and changes implemented during the improvement process. This ensures that the planned actions are effectively carried out and the intended results are achieved.
